POSITION: DEPARTMENT CLERK II – PROTHONOTARY
Full-Time; 80 hrs/pay
DEPARTMENT: OFFICE OF THE PROTHONOTARY COURTHOUSE
PAY GRADE: NON-EXEMPT HOURLY TWO
$11.2901/ hr
OVERALL OBJECTIVE:
To perform specialized moderately complex clerical work that will relieve the Deputy Prothonotary and the Prothonotary of clerical and operational details in the office.

None
SUPERVISION RECEIVED
Directly supervised by the Prothonotary and Deputy Prothonotary on a daily basis.
EXAMPLES OF DUTIES/RESPONSIBILITIES
1. Types letters, reports, memos and other documents required by the department staff and input of miscellaneous docket entries into computer.
2. Sorts, copies and/or files correspondence and documents within the department on a daily basis.
3. Answers telephone and takes messages or transfers calls to proper individuals; provides routine information to callers and refers matters to other office personnel.
4. Processes judgments, Federal Tax Liens and Protection from Abuse cases. Bill Protection from Abuse cases.
5. Pulls files for cases with no action for two years. Prepares letters; makes up list for court and mails out notices and all related matters.
6. Picks up and distributes mail. Delivers outgoing mail to courthouse basement.
7. Enters all sheriff returns on civil cases.
8. Processes passport applications from applicants.
9. Operates scanner and microfiche reader/printers as needed.
10. Processes all License Suspension appeals and name change petitions.
11. Greets and assists general public by taking or providing information, receiving payments, or directing them to proper locations.
12. Assists in collecting or receiving monies due department and maintaining accurate related records of such collections.
13. Attends court hearings as required/necessary.

1. Attends meetings and/or training sessions as required.
2. Performs other job-related duties as required.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
1. Must be able to speak and understand the English language in an understandable manner in order to carry out essential functions of job.
2. Must possess good communication and interpersonal skills.
3. Must possess ability to function independently, have flexibility and the ability to work effectively with clients, co-workers and others.
4. Must possess ability to maintain confidentiality in regard to client information and records.
5. Must possess the technical knowledge of operating personal computers and other office equipment with accuracy and reasonable speed.
6. Must possess general knowledge of modern office practices and procedures and ability to apply same to essential duties of job.
7. Must possess knowledge and ability to practice current and accurate usage of grammar, spelling and filing procedures.
8. Must possess ability to learn assigned clerical tasks and adhere to prescribed departmental procedures.
9. Must possess ability to perform simple math calculations with accuracy and reasonable speed.
10. Must possess ability to learn county and legal rules, procedures and practices as necessary within department.
11. Must possess ability to be able to handle a variety of clerical duties and switch from one to another throughout the workday.
QUALIFICATIONS
A. EDUCATION/TRAINING
High School diploma or equivalency, plus some business/clerical and computer training.
B. WORK EXPERIENCE
1-2 years working experience in office environment, county government or court system. Preference will be given to those with experience in paralegal field or in government or law office, or any acceptable combination of equivalent training and/or experience.
· Must not appear on Preclusion Lists as defined by “Pennsylvania’s Medical Assistance Bulletin 99-11-05 Provider Screening of Employees and Contractors for Exclusion from Participating in Federal Healthcare Programs.”
· Must successfully complete pre-employment drug screening.
